How AI is used

When you submit a response, a secure third-party AI service reads your submission and relevant case context to generate scenario continuations and formative written feedback. For assessed work, it may also propose rubric evidence, a score, and an assessment summary for faculty review.

Remember: only faculty-confirmed scores are final. An AI proposal does not become your grade until a faculty member has reviewed and approved (or adjusted) it. Until then your submission is marked “awaiting faculty review” in your dashboard.

What data is sent to AI providers

✓ The text of your submission for the chapter or assessment.
✓ The relevant module, scenario, and prior session context needed to continue the case or evaluate the response.
✓ The rubric the faculty has authored when the task is assessed.

We do not send your email address, name, or any contact information to the AI provider.

The text you write is sent as-is. If you draw on real experiences in your responses, use fictional names rather than the real names of people in your life or congregation.

Our AI provider may process your text on servers outside your country. The current provider and the full list of third-party services are kept current on our privacy page.

Who can see your work

Authorized faculty who teach your relevant course or cohort can view your full session transcripts, including retained voice recordings, and can review course-linked journal reflections for educational formation. Unlinked journal reflections remain visible only to you. Your work is not visible to other students or unrelated faculty. Faculty personally review academic work and remain responsible for final scores.

How to request human review

If you believe an AI proposal or consequential academic decision is wrong, contact your instructor or use the review process provided by your institution. The responsible faculty or institutional reviewer remains the decision-maker. Timing follows the relevant institution or a separate agreement; Ministry Sandbox does not impose one universal appeal deadline. Grading actions retain prompt/model and review metadata.

Retention

TEPE CONSULTING LLC uses category-based retention. Identifiable service, educational, assessment, audit, journal, and security records are kept only while needed for the approved service, longitudinal formation, institutional requirements, academic integrity, disputes, security, or other approved purposes. Exact periods may be set by your institution, applicable requirements, deletion duties, or a stricter tenant policy. De-identified or appropriately aggregated product-improvement data may be retained longer where permitted. You may request deletion through your instructor or the privacy contact, subject to required records.
